How it works
From first call to a working monthly rhythm
Three weeks of onboarding, then a repeating calendar. Everything below is what actually happens, in the order it happens, with the dates we hold ourselves to.
Onboarding
The purpose of onboarding is that nothing about your accounting depends on a single person’s memory — ours or yours.
- Scoping call — 20 minutesWhat you run on, how many transactions a month, which registrations you hold, which deadlines are slipping, and what has gone wrong before. We tell you on the call whether this is a fit.
- Books review — 3 to 5 working daysRead-only access to your current ledgers and filing history. We look at the last two closed periods and the current one, and identify what is unreconciled, unrecorded or overdue.
- Written proposalA fixed monthly fee, the exact scope covered, anything explicitly excluded, a separate quote for backlog if there is one, and a list of what we need from you to begin.
- Engagement letter & data agreementScope, fees, notice period, confidentiality and data handling, signed by both sides before any live work begins.
- Systems & access — week 1Named users created on your accounting licence, GST and TRACES portals, and your document store. Access is granted by you, on your systems, and can be revoked by you at any moment.
- Opening position — week 2Chart of accounts reviewed and restructured if needed, opening balances agreed and signed off in writing, prior-period exceptions documented.
- First live close — week 3We run a full monthly cycle end to end, then walk you through the output line by line and adjust the reporting template to what you actually want to see.
The monthly cycle
The same calendar, every month
Dates below are working days of the month following the period being closed. Statutory dates are set by law; internal dates are commitments we make to you.
| When | What happens | Output |
|---|---|---|
| Weekly, through the month | Transaction recording, document collection, query list issued to you | Rolling open-query list |
| By the 5th | Bank, card and gateway reconciliation for the closed period | Reconciliation statements |
| By the 7th | Payroll computation, statutory deductions, payment file prepared | Payroll register, payslips, bank file, challans for your approval |
| By the 10th | Books closed, trial balance finalised | Closed books, trial balance, close note |
| By the 10th | Management reporting pack issued | P&L, balance sheet, cash flow, variance commentary |
| By the 11th (statutory) | GSTR-1 filed | Filing acknowledgement |
| By the 20th (statutory) | GSTR-3B filed after input credit reconciliation | Acknowledgement and ITC reconciliation |
| Within the month | 30-minute review call with your engagement lead | Written action points |
| Quarterly | 24Q and 26Q TDS returns, advance tax working | Return acknowledgements, tax working |
| Annually | Year-end close, Form 16 issuance, corporate return preparation, handover pack to your auditor | Year-end file and audit schedules |
Statutory due dates are those in force at the time of publication and are set by the relevant authority, not by us. Where a due date is extended or changed by notification, the statutory date applies.
Working with us
Who you deal with, and how
- A named engagement lead who owns your account and knows your business, plus a second reviewer who checks the work before anything is filed.
- A shared channel — email or a messaging group, your choice — with a same-working-day acknowledgement and a two-working-day substantive response commitment.
- One monthly call at a fixed slot, with written action points afterwards. Additional calls when something genuinely needs one.
- An escalation contact named in your engagement letter, for when the normal channel is not working.
Your data
Where everything lives
- On your systems. Your accounting licence, your document store, your portal logins. We are named users on your infrastructure, not custodians of it.
- Portable at any time. Because the books are yours, there is no export process and no migration fee if you leave. You already have everything.
- Access you control. You grant it, you can revoke it, and we ask for the minimum level needed to do the work.
- Confidential by agreement. Handling, retention and deletion are set out in the engagement letter and in our privacy policy.
Ending the engagement
Either side may terminate on 30 days’ written notice. During the notice period we complete the current period’s close and compliance, prepare a handover file covering open items, pending filings and reconciliations, and brief your incoming team or accountant. There is no exit fee and no charge for handover. The full terms are in our terms of service and refund and cancellation policy.
Start with the scoping call
Twenty minutes. You will know by the end of it whether the rest of this is relevant to you.
